Controller of record

Mentum is the data controller for your personal data within the meaning of UK GDPR Art. 4(7). Mentum is operated as a sole trader registered in England. We have not designated a formal Data Protection Officer under UK GDPR Art. 37 — the processing volume and single-developer pre-launch posture do not currently trigger the mandatory-designation thresholds in Art. 37(1). The dpo@mentumjobs.com alias is the de-facto routing for DPO-style enquiries and the audit-trail channel for formal rights requests. Operationally, privacy@mentumjobs.com and dpo@mentumjobs.com route to the same human.

The fastest route for a request about your data

For a data-subject right — access, rectification, erasure, portability, restriction, objection, or contesting an automated decision — the quickest, most reliable route is in the product, not by email: sign in and open Data Subject Requests in Settings (under Privacy for candidates; a section of its own for employers and careers advisers). A request submitted there is recorded against your account, starts the one-month UK GDPR Art. 12(3) clock immediately, and is tracked to completion where you can see it.

The privacy@, dpo@, security@ and subprocessors@ addresses above are live and monitored. If you do not have an account, or your request is not about your own data, email support@mentumjobs.com or the specific address for your concern.

Reporting an error you saw in the app

If you are writing in about a specific error message or a broken feature, including the trace ID from the error toast makes triage dramatically faster. Every Mentum API call captures an x-trace-id response header which is surfaced in the error toast. The trace ID maps to a single log line in our backend, so we can go straight to what happened instead of asking you to reproduce the issue.

Useful detail to include:

  • The trace ID from the error toast (eight or more hexadecimal characters).
  • The time you saw the error, with UK timezone.
  • The page you were on (the full URL).
  • What you were trying to do.
  • A screenshot if you have one — please do not include other people's personal data.

Security vulnerability reports

Vulnerability reports have their own published policy in our repository's SECURITY.md. Please read it before reporting. The headline rules:

  • Email security@mentumjobs.com with a description of the issue and its impact, steps to reproduce ideally with a proof-of-concept, the affected URL or component, and optionally your handle if you would like attribution.
  • Please do not open a public GitHub issue, post to social media, or share the report with third parties before we have confirmed a fix.
  • We will acknowledge within 72 hours, triage within 7 business days, and agree a disclosure window with you of typically 30 to 90 days from the initial report.
  • Safe-harbour applies to good-faith research that does not access, modify, or exfiltrate data belonging to other users beyond the minimum necessary to demonstrate the issue, and does not degrade service for other users.
  • We do not currently run a paid bug bounty programme. We are happy to credit researchers in fix commits or public changelog entries.

If the vulnerability touches candidate personal data or the data-export / deletion flows, please copy privacy@mentumjobs.com so the privacy track is engaged in parallel.

Privacy and data-subject rights

Most rights can be exercised from inside the product without writing to us:

  • Data export (Art. 20): Settings → Privacy → Download my data. Produces a portable JSON archive plus an optional CSV. The export is generated server-side and downloaded directly in your browser. See /legal/retention and /help/download-my-data.
  • Account deletion (Art. 17): Settings → Privacy → Delete my account. You will be asked to type DELETE MY ACCOUNT to confirm. Erasure is synchronous against the live database; encrypted Supabase backups roll off within a seven-day rotation window. See /help/delete-my-account.
  • Rectification (Art. 16): Most fields are editable directly from your profile. CV uploads are versioned — the latest replaces the previous.
  • AI processing consent (Art. 7(3)): Settings → AI Consent. The toggle is revocable at any time and takes effect at the next long-running write boundary (typically under two seconds). See /help/ai-consent-opt-out.
  • Restriction (Art. 18) and objection (Art. 21): Settings → Privacy → Data Subject Requests. Submit and track these (and any access, rectification, or portability request) in-app; we respond within one calendar month. You can still email privacy@mentumjobs.com if you prefer.

For everything else — including portability of data we cannot expose through the in-app export, or contesting an AI-generated outcome under Art. 22 — email privacy@mentumjobs.com or dpo@mentumjobs.com. We respond within one calendar month, as required by UK GDPR Art. 12(3).

We may ask you to verify your identity before processing a request, to protect your data from unauthorised access. We do not currently charge a fee for rights requests.

If you are not satisfied — ICO complaints

If you have raised a concern with us and you are not happy with how we have handled it, you have the right to lodge a complaint with the UK supervisory authority:

We would appreciate the chance to put things right first, but you are not obliged to contact us before going to the ICO.

A note on phone support

We do not maintain a customer-service phone line. The only telephone number we publish is the ICO's (above), for the regulator-complaint route.

Honest transparency note

Mentum is operated by a single developer. We answer every legitimate enquiry, but complex technical, privacy, or legal questions may take longer than the targets above. The targets are calibrated to what one person can sustain reliably during UK business hours (Monday to Friday, 09:00–17:30 London time, excluding bank holidays) — we would rather meet a conservative commitment than miss an aspirational one.

If your matter is genuinely urgent, please flag it in the subject line (for example, URGENT — account locked or URGENT — security). Urgent security reports should go directly to security@mentumjobs.com, which is monitored against the published SECURITY policy timeline. We do not operate weekend or out-of-hours support.
